A useful quote starts with complete, consistent shipment information. Preparing the details below helps a broker evaluate the lane and explain what still needs confirmation.
Start with the lane and schedule
List the pickup and delivery city, state and ZIP when available. Include the requested pickup date, receiving hours, appointment requirements and whether either location has limited access.
If dates are flexible, say so. Flexibility can affect which capacity options are available, but it does not guarantee a lower rate.
Describe the freight accurately
Provide the commodity, total weight, dimensions, number of pieces or pallets and packaging method. Identify fragile, high-value, temperature-sensitive or regulated freight before a carrier is selected.
Do not estimate downward to obtain a quote. Incorrect weight or dimensions can change equipment needs, legal limits and final charges.
Match the equipment and service type
State whether the shipment needs Dry Van, Reefer, Flatbed, Box Truck or Power Only. For Reefer freight, provide set point, acceptable range and handling instructions. For Flatbed, identify dimensions and securement considerations.
Indicate whether the request is FTL, LTL, partial or expedited. If you are unsure, share the facts and let the broker review suitable options.
Disclose special requirements
Include driver assistance, liftgate, residential access, inside delivery, tarping, team service or other known needs. Ask both facilities about possible delays and detention rules.
Keep documents such as purchase orders, packing lists and facility instructions ready. A clear written record reduces avoidable back-and-forth.
